Terms of Service

Welcome to Kronos Solutions Inc. By engaging with our services, you agree to the following terms and conditions, which govern your use of our website and the services we provide, including the hiring of Virtual Assistants (VAs) and Executive Assistants (EAs).

1. Service Engagement
Kronos Solutions Inc. connects clients with remote assistants who are carefully sourced, screened, and matched to meet specific business needs. While we ensure that each assistant is qualified and properly onboarded, clients are responsible for providing clear instructions, relevant tools, access to necessary systems, and ongoing communication to enable the assistant to perform effectively.

2. Payment & Billing
Our services operate on an advance monthly payment model. Clients will receive an invoice on or before the 22nd of each month, and payment is due by the 25th to secure service for the upcoming month. For clients onboarding mid-month, the first invoice will include a pro-rated amount for the current month, in addition to the full advance payment for the following month. Timely payment is required to ensure uninterrupted service; failure to settle invoices by the due date may result in a temporary pause or full suspension of services.

3. Bonuses & Extra Compensation
Clients are welcome to provide additional compensation to their assigned assistant in the form of bonuses, gifts, or other incentives. To maintain transparency and proper documentation, any such rewards must be disclosed to Kronos Solutions Inc. The bonus amount will be added to the client’s invoice and passed on in full to the assistant. Kronos does not retain any portion of these discretionary payments.

4. Cancellations & Offboarding
We do not require long-term contracts. However, if a client chooses to end the engagement, we request a minimum of two (2) weeks’ written notice. This allows us to manage the offboarding process professionally and ensure a smooth transition for both the client and the assistant.

5. Use of Assistants
All assistants are engaged through Kronos Solutions Inc. as independent contractors. Clients agree not to circumvent or bypass Kronos in an attempt to hire any assistant directly outside of our platform or processes. Doing so violates the terms of this agreement and undermines the integrity of our staffing model.

6. Confidentiality
Kronos Solutions Inc., its clients, and its assistants are expected to uphold the highest standards of confidentiality. Any sensitive business, client, or personal information shared in the course of work must be kept strictly confidential. Our assistants are trained in professional discretion and are bound by internal confidentiality guidelines to protect the privacy and interests of every client.

7. Liability Disclaimer
Kronos Solutions Inc. functions as a staffing and coordination agency. We take responsibility for matching clients with qualified, trained, and reliable remote assistants. However, we are not involved in the day-to-day management or supervision of the assistant once assigned. Therefore, Kronos cannot be held liable for any issues that arise from mismanagement, lack of instruction, or ineffective communication between the client and the assistant. We do not assume liability for errors caused by unclear task delegation, for tasks performed outside the originally agreed scope, or for missed deadlines resulting from insufficient client guidance. Additionally, Kronos is not responsible for financial or operational losses due to the client's failure to supervise or follow up on delegated work. We are also not liable for third-party system failures such as issues with software tools, internet connectivity, or other infrastructure disruptions beyond our control. That said, Kronos is not a hands-off provider. We conduct regular check-ins with both clients and assistants to ensure ongoing alignment, resolve potential concerns early, and help maintain performance standards. If at any time you feel that your assistant is underperforming, we encourage you to communicate openly with us. With timely feedback, we can step in, assess the situation, and work collaboratively to resolve any issues. Our goal is to support long-term success through mutual accountability, transparency, and trust.

8. Modifications
Kronos Solutions Inc. reserves the right to update these Terms of Service at any time. Clients will be notified of any changes either via email or through an update posted on our website. Continued use of our services after any modifications have been made constitutes acceptance of those changes.
